Sample documents

14 samples. Read one in the browser, or save it. They are formats rather than templates to copy: every detail has to be replaced with your own, and a counsellor should check the result before anything is lodged.

Step by step

Collect these in the order below. Each stage depends on the one before it, and the ward office stage is the one that takes the longest.

  1. Start at the ward office

Birth verification, citizenship certificate, relationship certificate and address verification all originate at your ward. Go early. This is the stage most students underestimate, and it can take several visits depending on your ward.

  2. Assemble the financial evidence

Annual income verification, tax clearance, financial sponsorship verification and the affidavit of financial support. These have to agree with each other and with what your statement claims about who is funding you.

  3. Get the status verifications you need

Marriage, divorce or single status, unmarried status, place of birth, and permanent against temporary address. Which of these you need depends on your circumstances, so confirm the list with a counsellor before paying for all of them.

  4. Add consular and authorisation papers if they apply

Dependency status certificate, letters of consent, letter of authorisation, power of attorney, and any land lease contract used as evidence of assets. Only relevant to some files.

  5. Translate and notarise

Anything issued in Nepali needs an accurate English translation and notarisation. Translations must carry the translator's details. A mismatch between the Nepali original and the English version is treated as an inconsistency in the file.

  6. Order the file the way it will be read

Identity, then academics, then finances, then the statement. A case officer working through a well ordered file finds what they expect where they expect it, and asks fewer follow up questions.

  7. Bring it in for the pre lodgement check

We go through the complete set against the current requirements before anything is submitted. This is the internal audit stage, and it is where inconsistencies get caught while they are still cheap to fix.
